The successful candidate will track stock dispatched and delivered to customers, collect outstanding payments, reconcile invoices and investigate differences in customer or inventory records. The position combines accounts-receivable work with stock control and is suitable for a careful, trustworthy professional with strong Excel, numerical, reconciliation and reporting skills.

Job purpose
The Stock and Collections Officer will support distribution operations by ensuring that stock delivered to customers is correctly accounted for, customer payments are collected on time and stock, delivery and customer records are properly reconciled.
Key responsibilities
Payment collection
- Collect and properly account for customer payments.
- Follow up customers with overdue or outstanding balances.
- Confirm that collected funds are supported by appropriate records.
- Maintain accurate collection and customer-account information.
- Report significant delays or collection concerns.
Customer-account reconciliation
- Reconcile payments against invoices and delivery records.
- Confirm that receipts are allocated to the correct customer accounts.
- Identify unexplained balances and payment differences.
- Investigate disputed transactions or account entries.
- Maintain clear reconciliation schedules and supporting documents.
Stock and delivery reconciliation
- Monitor stock dispatched, delivered, returned or rejected.
- Verify deliveries against orders, invoices and delivery notes.
- Investigate differences between physical movements and system records.
- Report stock shortages, overages and delivery discrepancies.
- Ensure returned or rejected stock is properly documented.
Reporting and coordination
- Prepare reports on collections and outstanding customer balances.
- Report stock variances and unresolved reconciliation differences.
- Work with finance, sales, warehouse and distribution teams.
- Coordinate the correction of identified stock or account discrepancies.
- Maintain organised records supporting audits and management review.
Controls and compliance
- Follow approved cash-handling procedures.
- Comply with stock-control and documentation requirements.
- Protect customer, payment and inventory information.
- Maintain accuracy and accountability when handling company resources.
Qualifications and experience
- Diploma or bachelor’s degree in Accounting, Finance, Business Administration, Supply Chain, Commerce or another relevant field.
- Two to four years of experience in collections, accounts receivable, stock control, inventory reconciliation or a similar role.
- Experience in distribution, FMCG, wholesale or retail will be highly desirable.
- Proficiency in Microsoft Excel.
- Experience using accounting, inventory or ERP systems.
- Strong numerical, analytical and reconciliation skills.
