Job purpose

The Operations Manager and Executive Assistant will serve as a trusted partner to the Managing Director. The officer will coordinate business operations, organise executive activities, monitor agreed actions and help ensure that strategic and operational priorities are implemented efficiently.

Key responsibilities

Executive support

  • Manage the Managing Director’s calendar, appointments and daily priorities.
  • Coordinate executive meetings, travel and related arrangements.
  • Prepare reports, presentations, agendas and briefing materials.
  • Record meeting minutes and track agreed action points.
  • Screen and manage correspondence, telephone calls and emails.
  • Handle sensitive information professionally and confidentially.
  • Ensure timely follow-up on executive decisions and commitments.

Operations and business coordination

  • Coordinate routine business operations.
  • Monitor progress on key projects and organisational priorities.
  • Follow up department heads on agreed deliverables.
  • Identify operational challenges and recommend practical solutions.
  • Coordinate cross-functional activities and project dependencies.
  • Serve as a liaison between the Managing Director and stakeholders.
  • Coordinate management meetings, board meetings and strategic initiatives.

Administration and office management

  • Oversee the efficient administration of the Managing Director’s office.
  • Maintain organised executive records and filing systems.
  • Coordinate office supplies and service providers.
  • Support the organisation of company meetings and events.
  • Assist with administrative aspects of finance and procurement.
  • Support compliance and contract-management administration.

Strategic support

  • Support the implementation of strategic initiatives.
  • Coordinate special projects assigned by the Managing Director.
  • Conduct research supporting business decisions.
  • Prepare analytical reports and management information.
  • Recommend improvements to business processes and workflows.
  • Anticipate business needs and proactively resolve emerging issues.

Qualifications and experience

  • Bachelor’s degree in Business Administration, Management, Finance, Operations Management or another relevant field.
  • At least five years of experience as an Operations Manager, Executive Assistant, Office Manager or in a similar senior coordination position.
  • Proven experience supporting senior executives or C-suite leadership.
  • Experience coordinating multiple projects and cross-functional teams.
  • Experience in financial services, investment management or professional services will be an advantage.
  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
  • Strong analytical, reporting and presentation abilities.
