Job purpose

The Call Centre Officer will act as an important contact point between the hospital and its patients or customers. The role requires timely, accurate and courteous assistance while ensuring that enquiries, appointments, complaints and follow-up actions are handled according to approved hospital procedures.

Key responsibilities

  • Receive and respond to patient and customer enquiries.
  • Provide accurate information about hospital services and procedures.
  • Assist callers with appointment scheduling and confirmation.
  • Reschedule or cancel appointments when properly requested.
  • Handle complaints and concerns in a professional manner.
  • Escalate complex or sensitive matters to the appropriate department.
  • Make follow-up calls to patients and customers where required.
  • Record calls, enquiries, complaints and agreed resolutions accurately.
  • Maintain patient and customer confidentiality.
  • Follow approved call-handling scripts and escalation procedures.
  • Work with clinical, administrative and customer-service teams.
  • Meet established response-time and service-quality standards.
  • Support improvements in the overall patient experience.

Qualifications and skills

  • A certificate, diploma or bachelor’s degree in Customer Service, Business Administration, Communications, Healthcare Administration or a related field will be an advantage.
  • Previous experience in a call centre, healthcare facility, reception or customer-service role is desirable.
  • Excellent telephone etiquette and verbal communication skills.
  • Strong listening and problem-solving abilities.
  • A patient, empathetic and customer-focused approach.
  • Computer literacy and accurate data-entry skills.
  • Ability to work under pressure and handle difficult situations professionally.
