How to Prepare and Certify Academic Documents in Uganda

Academic-document requirements differ between employers. The safest approach is to read the advert literally, prepare clear copies and certify only what the employer requests through an authorised process.

Build a master document folder

Keep secure digital copies of your certificates, transcripts, professional licences and relevant training records. Use descriptive filenames and separate originals from application copies. Store a backup in a protected location you control.

Understand the instruction

‘Attach academic documents’ may not mean the same thing as ‘attach certified copies.’ A transcript is not always a substitute for a certificate, and a provisional result may not satisfy a requirement for an awarded qualification. If wording is unclear, ask the employer through an official contact.

Certification

Use a person or institution legally authorised to certify the relevant document and confirm the employer accepts that form of certification. Present the original when required. A certification should be readable and should not obscure your name, award or grades. Never copy a certification mark from another document.

Scan after certification

  • Capture the complete page and all stamps.
  • Use colour when it helps show seals or security features.
  • Keep text sharp at normal zoom.
  • Rotate pages correctly.
  • Combine files in the order requested.
  • Check any upload size limit before submission.

Protect your documents

Send copies only to verified application channels. Do not post full certificates, identity numbers or signatures publicly. If a recruiter unexpectedly requests originals by courier or asks to keep them, verify the procedure with the employer first.

Bring originals only when instructed

For an interview or onboarding exercise, organise originals in a folder and carry copies separately. Make a list before leaving so that important documents are not forgotten. Do not leave an original with an unauthorised individual.
