DISPATCHING OFFICER
Position Description
Job Title: Dispatching Officer
Reports To: Clients Operations Officer
Collaborators
• Declaration Team
• Customer Service Officers (Imports and Exports)
• Logistics
• Parking & Removals
• Transport (Both in Uganda and Kenya)

Job Purpose
To ensure the appropriate selection of transporters responsible for loading export cargo
from the Hub, Logistics, Parking & Removals areas to Mombasa on a daily basis, based on
operational readiness, compliance, and service efficiency.

Responsibilities
Transporter Selection
• Identify and select the appropriate transporter from the list of approved contract
transporters to support daily export loading operations.
• Loading Order Management
• Prepare and issue Loading Orders to transporters in line with planned dispatch
schedules.

Documentation – RCN Preparation
• Prepare and issue Road Consignment Notes (RCNs) to facilitate the movement and
tracking of export cargo.
Gate Pass Preparation
• Generate accurate Gate Passes for all trucks loaded with export cargo to ensure
compliant and efficient exit procedures.
Daily Reporting
• Compile and submit a daily report to the immediate Supervisor detailing all export
trucks released
Monthly Reporting
• Prepare and submit a monthly report highlighting trucks that arrived with imports
and were immediately redeployed for export loading.
Additional Duties
• Perform any other duties assigned by the Supervisor to support seamless logistics
and operational efficiency.

Person Specification
Education, Training,
Skills & Experience
Education
• Good Diploma in Business Administration or its equivalent
• Certificate in Logistics (added advantage)
• Certificate in Microsoft Office packages

Skills
• Excellent knowledge of Microsoft Office Packages (Word, Excel, Outlook,
PowerPoint).
• Strong communication skills (both verbal and written).
• Flexibility and ability to adapt to changing operational demands.
• Attention to detail with strong accuracy in documentation and data entry.
• Strong organisational and time-management skills to handle multiple tasks
simultaneously.
• Problem-solving skills with the ability to handle day-to-day operational challenges.
• Teamwork and collaboration abilities to work effectively with internal teams and
external partners.
• Basic analytical skills for interpreting data, preparing reports, and monitoring
transporter performance.
• High level of integrity and accountability in handling sensitive cargo and
documentation.
• Knowledge of logistics and transport operations (added advantage).
