How to Combine Job Application Documents into One PDF

Many Ugandan employers ask candidates to send an application letter, CV and academic documents in one PDF. Following that instruction is part of the assessment: a neat file shows attention to detail and is easier for a recruiter to store and review.

Choose the correct documents

Use the vacancy advert as your checklist. A sensible order is application letter, CV, degree or diploma certificate, transcript and any professional certificate specifically requested. Do not include every certificate you have collected if it does not support the application.

Prepare clean scans

Place each page flat in good light and capture all four corners. Check that names, grades, stamps and signatures are readable. Avoid fingers, shadows and messaging-app screenshots. If a document has two relevant sides, scan both. Never alter grades, stamps or identifying information.

Merge and arrange

You can use a trusted PDF application on a phone or computer. Add the pages in the required order, rotate sideways pages and remove duplicates. Where documents contain sensitive information, prefer an offline tool or a reputable service with a clear privacy policy, and delete uploaded copies after use.

Control the file size

A file can be readable without being enormous. Use medium scan quality and compress images if the employer has a size limit. After compression, zoom in and confirm that text and official marks remain legible. Do not solve a size problem by turning documents into blurred photographs.

Use a useful filename

A name such as Peter_Okello_Accounts_Assistant_Application.pdf is better than scan003-final-new.pdf. Avoid unusual symbols that may cause problems on an application portal.

Before sending

  • Open the PDF from beginning to end.
  • Confirm that it belongs to the correct vacancy.
  • Check page order and orientation.
  • Verify that no blank or unrelated page is included.
  • Confirm the file opens on another device if possible.
  • Match the email subject or portal reference exactly to the advert.

Keep the final PDF and a copy of the advert in a clearly named folder. This makes interview preparation easier and prevents you from sending the wrong version to another employer.
