Job Details:
Uganda Law Society (ULS) is a membership organization established by cap 276 to provide services to its members in particular and to the people of Uganda. Its vision is to excel as a professional body in the development of the legal profession and promotion of justice in Uganda. Its mission is to improve the professional standards of members of the legal profession and to promote human rights and the rule of law, by assisting the government and the judiciary in the administration and practice of law in Uganda. Through its Legal Aid Project to implement the project; Strengthening Access to Justice and Promoting Sustainable Development for Marginalized and Vulnerable People in Uganda, the Society is seeking qualified and experienced individuals to fill the following positions at its Legal Aid Offices in the following districts of; Soroti, Kabale, Kabarole and Gulu.
Senior Legal Officers – 04 positions
This position reports to the Manager Legal Aid. Major responsibilities will include but not limited to;
- Provision of general Legal counsel to indigent, vulnerable and Marginalised Persons.
- Drafting and preparation of Legal and Court Documents.
- Representing the Employer’s clients in courts of law, mediation/arbitration proceedings and or other tribunals.
- Representing the Employer at forums and meetings with donors, partners, etc.
- Formulation of articles for the Employer’s Journals and newsletters.
- Supervise all Pro-bono activities generally
- Preparation and submission of monthly Progress and Activity reports
- Maintaining proper and up-to-date client’s records and files.
- Overall management and supervision of the Legal Aid Work
- Ensure proper use and care of all assets belonging to the Employer.
- Supervise and appraise staff under his or her supervision. The appraisal shall be done together with the Head Legal Aid & Pro bono Services.
- Manage the Legal Aid office.
- Carry out any other lawful duties as may be assigned by the Chief Executive Officer, Head of Department, Legal Aid Services and or any other supervisor.
Education and Qualifications:
- LLB and post graduate diploma in legal practice
- Must possess a valid practicing certificate
- At least 5 years of professional litigation experience and qualified to appear before the High Court.
- Ability to speak local languages is an added advantage.

Legal Officers – 04 positions
This position reports to the Senior Legal Officer. Major responsibilities will include but not limited to;
- Receiving and Interviewing clients;
- Providing legal advice and counseling to clients;
- Drafting and preparation of Legal and Court Documents;
- Representing the Employer’s clients in courts of law;
- mediation/arbitration proceedings and or other tribunals;
- Conducting research and preparing legal briefs and opinions for legal officers;
- Conducting and facilitating mediation and other forms of alternative dispute resolutions;
- Conducting legal and human rights sensitization programs;
- Generating articles for newsletters and journal from activities and programs; and
- Carry out any other lawful duties as may be assigned by the Chief Executive Officer, Head of Department, Legal Aid Services and or any other superior/supervisor
Education and Qualifications:

Paralegal Officers/Law Clerks -04 positions
This position reports to the Senior Legal Officer. Major responsibilities will include but not limited to;
- a) Conducting prison outreach programmes
- Interviewing and giving legal advice and counselling to clients, accused persons/prisoners
- Compiling relevant information of clients and forwarding it to Legal Officers for legal representation purposes.
- Conducting sensitization programs for prisoners on criminal Justice system and Human Rights.
- Acting as a link between the inmates / detainees and their relatives/sureties/ JLOS institutions in order to facilitate speedy trials and ADR.
- Facilitating reconciliation / Alternative Dispute Resolutions between the inmates/accused persons and the complainants where applicable.
- Preparing monthly activity reports.
- Filing of court documents
- Keeping the Legal Officer up to date on upcoming cases in court.
- Servicing of court process and other documents and correspondences.
- Collection and filing of court cause list.
- Any other lawful duties assigned by the Chief Executive Officer, Head Legal Aid & Pro-bono Services, legal officers and any other supervisor.
Education and Qualifications:
A Diploma in law.
Key Competencies:
At least 1year experience with a law firm or legal aid service provider
Other Skills:
Demonstrable computer knowledge and applications and good interpersonal skills.
Ability to ride a motor cycle.
Process server’s license is an added advantage
Administrative Assistant – 04 Positions
This position reports to the Senior Legal Officer. Major responsibilities will include but not limited to;
- Human Resource Support: Assist generally in the human resource activities for the project staff (leave forms, correspondences and staff related updates)
- Maintain employee’s database for employee attendance, leave and staff training tracking sheets.
- Assists in the orientation of new staff, interns, visitors, and clients by providing them with the necessary documents and materials for orientation.
- Administration Support: Attend to project visitors, incoming communications (telephone calls, letters, email etc.) and ensuring they reliably passed on to the appropriate person(s).
- Contribute and support project related utility management and reporting including but not limited to subscriptions (email, internet), office supplies, photocopier, and other machinery services.
- Support compilation, submission and tracking of requisitions for monthly data, staff supplies, payment requests and other logistical requirements.
- Provide secretarial assistance while also ensuring appropriate use of project administration templates /forms are replenished and updated.
- Contribute to maintenance and regular updates of the asset listings.
- Assist in preparing the project procurement plans, requisitions and updates on receipt of goods and services.
- Works with other project staff to coordinate work activities, meet deadlines, and provide support where needed.
- Project Events Management: Support administrative arrangements for the project events, meetings, workshops
- Assist in organizing staff Community sensitizations, training sessions, workshops and activities that take place in different field locations
- Coordinate regular project team meetings (virtual and face to face) including preparation and distribution of minutes of meetings, summary notes and other documentation
- Coordinate staff meetings and ensure efficient distribution of minutes, workshops, seminars, and conferences for the project team.
- Support staff to follow up logistical arrangements, bookings for conferences, venue, accommodation, and other logistical supplies for events.
- Coordinate and arrange staff wellness events and interactions.
- Provide timely and proper set-up and logistical preparation of conference rooms or venues for various activities.
- Support scheduling and preparation of weekly travel calendars and staff movement updates to/from the field and other events
- Maintains and regularly updates travel plans, assist project team to prepare travel requisitions and claims.
- Administrative information: Compile, organize, regularly update, and maintain an active and accessible project team information database using designated platforms.
- Support in arranging project team appointments and maintaining mailing lists, directory, activity calendar and facilitate follow up on deadlines.
- Create and maintain an efficient e-filing system for the project team with up-to-date files and references (electronic and hardcopy) of correspondence/documents and copies of the project records for the various project workstreams.
- Provide secretarial support for formatting and editing various program documents, such as work plans, budgets, briefing materials, presentations, and reports.
- Support dissemination of project specific communication materials such as policies, templates, plans, budgets, and reports.
Qualifications:
University degree in Business Administration, Secretarial Studies, or related area of study
At least 3 years relevant work experience with administrative tasks
Proficient with computer technology and Microsoft Office applications including Microsoft Word, Excel, Power-point, Outlook.
Strong oral and written communication skills
Strong organizational, interpersonal skills
Work experience in administrative support of a development program/project (NGO) is an advantage.
Demonstrated ability to work in teams, solve problems, prioritize workloads, meet deadlines, and work well under pressure is highly desired.
Fluency in English is required
Must be able to work independently while being a strong team player.
Accounts Assistant
This position is under the guidance and direct supervision of the Accountant. Major responsibilities will include but not limited to;
Handling the project payments and revenue;
- Preparation of Project Financial Report as guided and required by the donor
- Maintain the petty cash and other cash balances held by the finance department but in line with the financial guidelines;
- d) Maintaining both manual and electronic books of accounts the project and in line with financial reporting standards;
- e) Coordinate the signing, by authorized signatories, of all processed project payments after clearance of the HFA and CEO and within the established payment cycles unless otherwise directed;
- g) Promptly ensure that all signed suppliers’ checks under the Project are expeditiously paid out to the respective suppliers and within established procedures to minimize risk of loss;
- h) Promptly prepare weekly and monthly project reports
- i) Ensure timely reconciliation of the projects’ accounts and clinic accountability
- j) Make all the necessary preparations for the Internal and External audits;
- h) Any other lawful duties as may be assigned by the Head Finance and Administration and the Chief Executive Officer.
Qualifications
- Should hold a Bachelor of Science in Accounting, Bachelor of Commerce, Bachelor of Business Studies (Accounting option) or related field.
- CPA completed Level 11 will be an added advantage.
- NGO Experience is A MUST
- Excellent Knowledge of Quick Books, ERP based systems and Excel
Experience
A minimum of two years’ experience.

Monitoring and Evaluation Assistant
This position is under the guidance and direct supervision of the Manager Monitoring and Evaluation. Major responsibilities will include but not limited to;
- Participate in the development of M&E policies, plans and Standard Operating Procedures with support of the M&E manager;
- Participate in development and review of data collection tools and ensure timely availability to staffs in the field;
- Assist in the conduct of client satisfaction assessments/surveys as a means of generating client feedback on the quality and relevance of ULS/Legal Aid services;
- Provide support in the management of ULS data base and ensure that it is routinely updated;
- Offer technical support to project staff on data issues and ensure that staffs understand the data requirements of the organization;
- Provide support in the systematic and continuous data collection and analysis on the progress of project activities and monitor results in terms of timeliness, quality and accuracy;
- Participate and support the project teams to identify, document and disseminate lessons learned, best practices and/or case studies;
- Support the coordination and execution of events in the M&E unit such as training, collecting and disseminating relevant information on monitoring, evaluation and research;
- Support in preparing weekly, monthly, quarterly, semi-annual and annual programmatic performance reports;
- Under the guidance of the M&E Manager respond to donor data inquiries and questions; and
- Any other related duties as may be assigned.
Qualifications
Should hold a Bachelor’s Degree in Statistics, Quantitative Economics, Development Studies or related field.
Training in Monitoring and Evaluation is an added advantage.
Experience
A minimum of two years’ experience in participatory, community-driven facilitation skills and experience in data management.

This position reports to the Senior Legal Officer. Major responsibilities will include but not limited to;
- Transportation Services
- Vehicle Maintenance and Care
- Record Keeping- Maintain accurate vehicle logbooks (mileage, fuel usage, trips).
- Submit periodic vehicle status reports.
- Assist with minor administrative and logistical tasks when required.
- Support field operations and staff movements during official activities.
- Be available for assignments outside normal working hours when necessary.
- And any other duties assigned
Qualifications:
- Minimum of Uganda Certificate of Education (UCE).
- Valid driving permit (Class B, CM, DL or equivalent).
- At least 3–5 years of driving experience, preferably in an NGO or corporate setting.
- Defensive driving training is an added advantage.
Desirable Competencies
- Good knowledge of road networks within Kampala and upcountry.
- Basic mechanical knowledge of vehicles.
- High level of integrity and professionalism.
- Good communication and interpersonal skills.
- Time management and reliability.
- Ability to work under pressure and flexible hours.
